Requirements ESSENTIAL FUNCTIONS: *Supervises the day-to-day operations of the Executive Office and its staff and oversees staff responsible for the preparation of all agency correspondence from the executive office. *Planning, scheduling, and promoting office events including meetings, conferences, and interviews. *Oversees the management of the Executive Director’s calendar to ensure strategic outreach and engagement with key partners. *Fosters key relationships with outside leaders. *Interacts with program managers, communications and engagement staff for progress on CMAP work and shares updates with the executive team. *Communicates with external counterparts as needed, including the agency’s Board, committee members and other external officials. *Participates in meetings, taskforces, and workgroups both internally and externally on behalf of the Executive Director and prepares pre- meeting briefings. *Assigns follow up actions to appropriate personnel on behalf of the Executive Director, collects materials, and distills information into key messages for inclusion into speeches and written materials. *Monitors costs and expenses to assist in budget preparation. *Maintains awareness of the agency’s immediate and long-term commitments and plans and makes recommendations for course correction as needed. *Serves as the administrative lead to support the functions of the board and committees of the agency to include preparing materials, document management, and establishing administrative protocols. *Administers agenda management system and trains agency personnel on its use. *Manages internal and external special projects in coordination with other departments and/or organizations on behalf of the Executive Director. Compiles and completes reports as needed. *Serves as the OMA and Roberts Rules lead on behalf of the agency. EDUCATION AND EXPERIENCE REQUIRED (an equivalent amount of training, education and experience will be considered) *Bachelor’s degree in business, management or a related field is preferred. *Minimum of five years of executive administrative experience is required. *Advanced proficiency in MS Office Suite. *Sensitivity to confidential matters, professionalism, tact, and diplomacy is required. *Previous experience managing administrative staff. KNOWLEDGE, SKILLS AND ABILITIES including competencies that may be representative but not all inclusive of those commonly associated with this position. *Excellent oral and written communication skills with the ability to effectively communicate with a variety of internal and external audiences. *Ability to make objective decisions using sound judgment and application of policies. *Ability to execute and prioritize work efficiently and deliver high quality products. *Excellent project and time management skills *Excellent editing and proofreading skills.
